Add a reminder, by typing or by saying it

And how Daybook brings it back.

Why this mattersMost of what a host has to remember is tied to a moment, not a date: the boiler man before the next changeover, logs before the next arrival. Tell Daybook once, in your own words, and it brings the reminder back on the right day, even if the booking moves. Then you can stop carrying it.

What you need

Your board. Saying it works where your phone's browser can listen; typing works everywhere.

Say it

  1. Tap Add a reminder. On a phone, it is on the Reminders line near the bottom of Today, and on the gold button at the bottom right of the screen. On a laptop, it is beside the Reminders heading.
  2. Allow the microphone if your phone asks.
  3. Speak. The box says ● Listening… and Say your reminder, then pause. It saves itself. Say it as you would to a person, for example: the boiler man is coming before the next changeover. Your words appear as you speak.
  4. Pause. A couple of seconds after you stop, it saves. To save sooner, tap Save.

Type it

  1. If your browser can't listen, the typing box opens straight away and says why. Where it can listen, say nothing and tap Save; the typing box opens.
  2. Type your reminder and tap Save. You can also tap the box and use the microphone key on your phone's keyboard.
  3. A reminder holds up to 2,000 characters. Near the end the box says how many are left, for example A reminder keeps up to 2,000 characters. 150 left.

Check what Daybook heard

  1. Read the saved line. It says where and when, for example Saved for Brook Cottage, the next changeover, with your words underneath.
  2. Give it a moment if it asks. If Daybook didn't catch when, it asks When should I bring it up? Tap Next changeover, Next clean, Next arrival, Next checkout, When it’s empty, or pick a date.
  3. Wrong place or time? Tap change beside the saved line, while it is still showing. Pick under Which place (Whole business or one place) and When it should come back (Today, Tomorrow, Next changeover, Next week or A booking…).

Why this mattersDaybook reads the place and the moment from your words by fixed rules, not guesswork: a place's name, next changeover, next clean, next arrival, after checkout, tomorrow, next Tuesday, on 14 November. A moment like the next changeover is worked out from the live calendar each time, so if the booking moves, the reminder moves with it.

When it comes back

  • On its day it appears under Needs you and is counted in the answer at the top. On a phone, tap the row to open it.
  • When it is done, tap ✓ done. If you don't, it stays for up to a week, saying when it was for.
  • A reminder with no moment never comes back by itself. It waits under Reminders until you give it one.
  • Reminders appear on your board only. Daybook doesn't email or text them.

See them all

Under Reminders, tap see them all, with dates →. The Operations Ledger lists them under When it comes up, in your own words, with why each is dated as it is. Give it a moment dates one that has none, and Mark it done files it under Done, kept as history. Nothing is deleted.
