Tell your cleaner about a booking

The prepared message, and what your cleaner does with it.

Why this mattersDaybook never messages your cleaner by itself. When a booking arrives it writes the message for you, with the date and checkout time, and you send it from your own phone. Then it keeps two facts: when you sent it, and when your cleaner replied. That record is what lets you stop wondering whether they know.

What you need

Your cleaner's name and number in Daybook. If you added them at setup, skip to the next part.

  1. Tap Settings, then your place.
  2. Under Who arranges the changeover cleaning here?, choose I do (or someone I book). If your agency arranges it, Daybook leaves the cleaning to them.
  3. Under Cleaner, type their first name in Cleaner name. The message starts with it, so Jo reads better than a full name.
  4. Under How do you usually message Jo?, choose WhatsApp, Text message or I'll copy it myself. Add their number in WhatsApp number or Mobile number, then tap Save changes.

Why this mattersThe number is how the message carries your cleaner's own Daybook link. With I'll copy it myself there is no number, so the message carries no link and Jo can't confirm on their own page.

The first booking

  1. Find it. On Today, under Since you last looked (on a phone, tap that line to open it), new bookings are listed under Added to Daybook.
  2. Tap Tell Jo on the booking's row. With text messages it says Message Jo. WhatsApp opens with the message written: the place, the date and the checkout time, and Jo's link. It names no guest.
  3. Send it in WhatsApp. Then come back to Daybook.
  4. Or start from the booking. Tap the stay, then the green WhatsApp Jo button. It writes the same kind of message and keeps the same record.

Every booking after that

  1. Once you have sent Jo anything through Daybook, new bookings don't ask one at a time. Needs you shows Jo’s schedule changed since you sent it.
  2. Tap it to see what changed, then tap Send. The message lists each clean added and any no longer needed, with Jo's link at the end. Send it in WhatsApp.

What Daybook says after you send

  • Message prepared. For the first 20 minutes Daybook says Message prepared for Jo, with Didn’t go? Tap to put it back. If the message never left your phone, tap that card and the clean goes back to waiting to be told.
  • Sent, no reply yet. After 20 minutes it says Sent to Jo, no reply yet. Daybook knows you sent it; it doesn't yet know Jo has read it.
  • Jo knows. Only when Jo replies does it say ✓ Jo knows beside the booking, and ✓ Jo confirmed on Today and on the booking.

If Jo says yes on WhatsApp

Many cleaners just reply in WhatsApp. Tap the booking, then the green ✓ Jo confirmed under the message button. The booking then says ✓ You recorded Jo’s yes, today. The button is there for a clean you have told Jo about through Daybook and that has no reply yet.

What your cleaner sees

  1. Jo taps the link in your message once. It opens their own page, Your Jobs · October, and keeps them signed in on that phone. It shows the next 30 days: the place, the date and the checkout time, and never a guest's name.
  2. Jo taps Confirm job on each clean. Your board then says Jo knows.
  3. After the clean, Jo taps ✓ Mark done. Your board says ✓ Jo marked it done.
  4. The page also has a mileage log, expenses with receipt photos, a tax year export, and Subscribe in your calendar app, all for Jo's own use.

A fortnight at once

Tap Changeovers at the top of your board. The Changeover Book has WhatsApp the next two weeks to Jo, or Share to send the list to a group chat. The Changeover Book is part of the paid plan after the free days.
